What counts as "gymnastics club management software"?

The category covers software that helps a gymnastics club run its day-to-day operations without spreadsheets or paper registers. A proper platform usually handles six things: member records, class timetables, bookings, payments, communications and reporting. The good ones also handle the gymnastics-specific stuff: badge schemes, trial bookings, insurance tracking and collection passwords.

Generic booking systems (Calendly, SimplyBook, Acuity) and horizontal CRMs (HubSpot, Pipedrive) are sometimes proposed as alternatives. They rarely fit well: they treat a gymnastics class as a one-off appointment rather than a recurring relationship with a child and their guardian, and they don't know what a badge scheme is.

Member profiles with medical info

Encrypted at rest, visible only to coaches who need it, with a field for allergies, conditions and emergency contacts.

Visual calendar, recurring classes, term plans. Moving a class should be one drag, not one form.

Stripe or equivalent recurring billing

Automatic retries on failed payments, Apple Pay, Google Pay support. Refunds processed through the admin UI.

Badge progression

Skill ladders, automatic enrolment on level-up, downloadable certificates. Generic booking tools skip this.

Capacity caps and auto-waitlists

When a class fills, new bookings go to a waitlist automatically and get invited on cancellation.

Digital registers

Tick attendance on a phone, with medical info one tap away. Exportable as CSV for insurance records.

GDPR and Children's Code compliance

You're processing children's personal data. Your software needs to take that seriously, not bolt it on.

How pricing usually works

Most gymnastics club platforms price in one of three ways: flat monthly fees, per-active-member fees, or a base fee plus per-member add-on. Almost all charge a small percentage fee on top of Stripe's own processing fee for payments you take through the system. Published pricing matters more than it seems: if a platform won't show you their price without a sales call, that's usually a sign the sales call exists to push you into a higher plan than you need.
